Issues (Web)

Key Information

  • Issues are used in STACK Build & Operate to indicate within a project that there is a problem that needs to be resolved.

  • Issues can be created and assigned to specific users so they can resolve them.

  • Issues occupy statuses so you can track the progress of the resolution of the problems.

IMPORTANT
Issues created in the web portal are project-level issues only. It is not possible to locate (pin) an Issue directly on a plan or drawing in the web version of STACK Build & Operate. To create a plan-located deficiency, use the mobile app.


Web Issues Overview

Issues are available in the STACK Build & Operate Web Portal, so project teams can view and manage Issues without opening the STACK Field App.

From the Web Portal, users can:

  • View Issues in a list

  • Search, filter, group, and sort Issues

  • Open an Issue to view details, add updates, and advance it through the workflow

  • Attach files and view related items such as photos

  • Export Issues as reports


Viewing Issues

  1. Open the project in STACK Build & Operate.

  2. In PROJECT INFO, select Issues.

  3. View the Issues list. Each Issue displays:

    1. ID

    2. Category (with color-coded status)

    3. Description

    4. Assignee

    5. Priority

    6. Due Date

    7. Document

  4. Use the available tools to manage what you see:

    1. Use Search to find an Issue.

    2. Use Filter & Quick Filters to narrow the list.

    3. Use Group by Status to group Issues.

    4. Use Sort to sort by ID or Due Date.

  5. Select an Issue to open the Issue details.


Creating an Issue

  1. Open the project in STACK Build & Operate.

  2. In PROJECT INFO, select Issues.

  3. Click + Create.

  4. In the New Issue window:

    1. Select a Category.

    2. Enter a Description for the issue.

  5. Enter the Issue details.

    NOTE
    The Description field is required to create an Issue. All other fields are optional.

  6. In the Details tab, fill in the following fields:

    1. Description: Enter a detailed description of the issue.

    2. Comments: Write any relevant comment relating to the issue.

    3. Related Items:

      1. Upload Photos: Upload any photos that may be useful in resolving the issue.

      2. Attach Files: Attach any supporting document related to the issue.

        NOTE
        Only users who can edit an Issue can attach a file to an Issue.
        Files must be less than 100MB and must be a supported file type.

    4. General:

      1. ID: STACK automatically gives a number for the issue when it is created.

      2. Category: Select the issue category from. the dropdown. (Created in the Issues tab of the project settings)

      3. List: Select if you want to add the issue to a specific list. (Created in the Issues tab of the project settings)

      4. Location: if required, defined the location of the issue. (Created in the Issues tab of the project settings)

      5. Assignee(s): Assign the issue to a user.

      6. Due Date: Determine a date when the issue must be resolved.

      7. Status: Display the status of the issue.

      8. Priority: Select a priority level for the issue.

    5. Additional Information:

      1. Cost Impact: Enter the extra cost that resolving this issue will intake.

      2. Schedule Impact: Enter the number of days that resolving will take.

      3. Severity (Custom field): Select the severity level of the issue. (Created in the Issues tab of the project settings)

      4. Phase (Custom field): Select at which phase this issue is. (Created in the Issues tab of the project settings)

      5. Trade (Custom field): Select the trade responsible for resolving the issue. (Created in the Issues tab of the project settings)


Accept, Complete, or Close an Issue

  1. Open the project in STACK Build & Operate.

  2. In PROJECT INFO, select Issues.

  3. From the Issues page, find the issue that you want to accept, complete or close.

  4. Click the three dots at the extreme right of the issue.

  5. Select Open.

  6. Review the Issue Details and update any information if necessary.

  7. Click:

    1. Accept: Accept to resolve the issue that has been assigned to you.

    2. Complete: Complete the issue that has been assigned to you once it has been resolved. The issue can then be closed.

      1. Enter a Comment about the closure of the issue.

      2. Upload Photos (Optional).

      3. Click Complete.

    3. Close: Close the issue once it has been resolved.

      NOTE
      Only the Owner, Administrator, and Power collaborator can close issues.

      1. Select a reason for closing:

        1. Done, completed successfully

        2. Not an issue

        3. Duplicate

        4. Other (enter a comment)

      2. Click Close.

  8. To reopen the issue, click the Reopen button.


Issue Statuses

Issues move through the following tracking statuses:

  • Open

  • In Progress

  • Pending Validation

  • Complete

Issue status indicators (including color) reflect the current state of the Issue.


Export Issues

NOTE
Exports generate PDF files that are sent by email.

  1. Open the project in STACK Build & Operate.

  2. In PROJECT INFO, select Issues.

  3. Select to:

    1. Generate CSV Report

    2. Generate PDF Report.

  4. For the PDF export, configure how and what you want the file to display:

    1. Group By: None, Category, Status,List, or Location.

    2. Order By: ID, Due Date, or Priority.

    3. Sort Order: Ascending or Descending.

    4. Select Columns: Toggle on the columns you wan to be displayed in the report.

    5. Click Generate PDF Report.

  5. Open the email you receive and use the provided link to download the report.
