Import items from Acumatica into the STACK library to quickly build a complete catalog without manual entry.
Overview
Item Import from Acumatica allows teams to bring inventory items directly into STACK in a single action. This creates a structured library with mapped cost types, units of measure, and folders based on Acumatica Item Classes. This removes the need for manual item entry or spreadsheet imports.
This is a one-time bulk import designed to get the library ready for estimating.
Key Information
- Imports Stock Items and Non-Stock Items (ItemType = N only)
- Automatically creates folders from Item Classes
- Maps cost types, units of measure, and pricing
- Displays results as Successful, Needs Attention, or Failed
- Includes a Failure Report CSV for troubleshooting
- Available when the library is empty
- Supports retry without creating duplicate items

Acumatica Customization Project
STACK relies on a customization project in Acumatica to support integrations and new features.
New connections already use the latest version: 25.200.001.00.00.03. This version supports:
- Acumatica v26 R1
- Estimate Worksheet integration with Change Order Requests
If the connection was set up earlier, it may still be using an older version (23.200.001.00.00.02). Update it to access newer features.
To upgrade:
- Download the latest customization project:
https://go.stackct.com/current/partners/acumatica/STACKTE[25.200.001][00.00.03].zip - Install the package in Acumatica.
- In STACK, open the Acumatica configuration dialog and click Update Package.
NOTE
The customization project must be upgraded in Acumatica before updating the package in STACK.
Before You Start
- Acumatica integration must be connected
- Library must be empty to access the import
- Cost types must be configured in STACK
- User must have permission to create and manage library items
NOTE
If cost types are not configured, items cannot be created during import.
Import Items from Acumatica
- Open the project.
- Click LIBRARIES.
- In the empty library view, click Import from Acumatica.
- In the Import from Acumatica popup:
- Include non-stock Items in the Import: Select this option to include non-stock items that are purchased and sold but not tracked in inventory.
- Click Import.
- In the Import Complete popup displays:
- Number of Items imported.
- Number of Items the Need Attention. (If higher than 0, a tab will be displayed giving more information.
- The number of Failed items. (If higher than 0, a tab will be displayed giving more information.
- Click Go to Library.
NOTE
Stock Items are always included. Non-Stock Items can be enabled or disabled.
TIP
Import both Stock and Non-Stock items to ensure the full catalog is available for estimating.
Import Process
STACK processes the import in a single operation that includes:
- Creating folder structure
- Importing items
- Finalizing import
A progress indicator shows the current stage.
Folders and items are created as part of a single process during import, not as separate steps.
NOTE
If a connection issue occurs (timeout, rate limit, or authentication), the import stops. No items are created, and the process must be retried.
Review Import Results
After the import completes, a summary is displayed:
- Successful – Items are ready to use
- Needs Attention – Items are created but missing required data (See troubleshooting section)
- Failed – Items are not created (See troubleshooting section)
You can review item-level details or download the Failure Report CSV.
TIP
Use the Failure Report to quickly identify issues and update items in Acumatica before retrying.
NOTE
Items marked as Needs Attention will not behave correctly in estimates until resolved.
Supported Item Types
This table shows which item types are imported from Acumatica.
Stock Items are always imported. Non-Stock Items must be enabled in the import configuration.

How Data is Mapped
During import, STACK automatically maps:
- Item name, description, and item number
- Units of measure and conversions
- Cost types (via Account Groups)
- Pricing
- Folder structure (from Item Classes)
NOTE
If unit conversions are not available, STACK defaults to a value of 1 using the base unit of measure.
Folders and cost types are automatically mapped from Acumatica during import.
Troubleshooting Import Issues
If some items do not import as expected, review the results summary to identify the issue and take action.
Items Not Created (Failed)
These items were not imported into STACK.
Common causes:
- Missing or invalid item number
- Field length exceeds limits
- Required system configuration is missing (such as cost types)
What to do:
- Review the Failure Report CSV
- Correct the issue in Acumatica
- Retry the import
If the entire import fails, verify the Acumatica connection, item availability, and network connection, then retry.
Items Created with Missing Information (Needs Attention)
These items were imported but may not behave correctly in estimates.
Common causes:
- Missing cost type mapping
- Missing account group
- Missing item class (item is placed in the library root)
What to do:
- Update item data in Acumatica or STACK
- Confirm cost types are properly configured
- Organize items into the correct folders if needed
NOTE
Items marked as Needs Attention can still be used, but should be reviewed to ensure accurate costing and reporting.
Limitations
- Import is a one-time process and does not sync with Acumatica
- Import cannot be run again on a library that already contains items
- Kit Assemblies are not included in this import
- Imported items can be edited in STACK after import
- There is no undo for the import; items must be manually deleted if needed
