Organizing Projects

Sort of piggybacking on allie.g’s question about organizing plans… Has anyone seen a way to organize projects? I’m not seeing anything in the interface.

My queue is getting long. It’d be nice to organize projects at least two directories deep (by salesman and builder) but keep all the current ones out on the main screen.

    Hi @craig.parker ,

Here’s a quick way to get the “two-deep” organization you’re after—without folders—using filters and search on the Projects list.

    How to set it up

    1. Assign projects to each salesperson
From the Projects list you can click directly into the Assigned To or Status fields to make quick edits for each row. This makes it fast to tag each project to the right salesperson.
    2. Filter by salesperson (Assigned To)
On the Projects page, click the filter icon beside Assigned to and check one or more names. Filters you apply are remembered in your session until you change/reset them, so your view stays consistent as you work.
    3. Keep only “current” jobs on the main screen using Status
Use the Status filter the same way—select statuses like “Bidding” or “In Progress” (and deselect “Won/Lost/Completed”) so the main view only shows current work.
If your team needs different buckets (e.g., “Current – Builder A/B/C”), you can add or rename statuses in Custom Project Status and then filter by those.
    4. Drill down by builder with Search (your “second level”)
With your salesperson filter still on, type the builder name in the search bar to narrow within that filtered list (Search only returns results from the filtered set). This effectively gives you “salesman → builder” depth.
Tip: You can clear just the search and keep your filters by clicking the X in the search bar.
    5. Optional: sort for a cleaner view
Click a column header (Project Name, Status, Bid Date, or Location) to sort A→Z or Z→A; sorts are also remembered in-session.
    6. Reset any time
Need to go back to the full list? Click Reset at the top-left of the Projects page (this clears searches and removes filters).

Have I got to add my salesmen as users? Will that chew up license seats if I just make them viewers, even if they’re never logging in?

Users who have been assigned “Viewer” roles will not take up a paid license seat; no.

Click here to learn about which “Viewer” roles are available for your purposes; they each come with specific permission settings.
